How to Track Purchase Order Status in Business Central

Open the PO list

Search for 'Purchase Orders' in Business Central to open the full list. This page shows every active Purchase Order with columns for vendor, amount, status, and dates at a glance.

Use filters for status

Click the filter pane and filter by Status (Open, Released, Pending Approval) to narrow down the list. You can also filter by Vendor, Expected Receipt Date, or Assigned User to find specific orders quickly.

Check receipt status

Open any PO and look at the Lines section. The 'Quantity Received' column shows how much has arrived versus what was ordered. Partially received orders remain open until all lines are fulfilled.

Review invoice status

On the same PO, check the 'Quantity Invoiced' column to see which lines have been billed. If quantities received exceed quantities invoiced, you have goods waiting for a matching supplier invoice.

Use the Posted Documents archive

For completed orders, search for 'Posted Purchase Receipts' or 'Posted Purchase Invoices'. These archives contain the full history of every receipt and invoice, including the original PO number for traceability.
