How to Set Up Approval Workflows for Purchase Orders in Business Central

Enable approval workflow templates

Search for 'Workflows' in Business Central and open the Workflow Templates list. Find the 'Purchase Order Approval Workflow' template and click 'Create Workflow from Template' to generate an active copy you can customize.

Configure approvers

Open 'Approval User Setup' and add each user who can approve purchase orders. Set the Approver ID field to define the approval chain — for example, a buyer's approver might be the procurement manager.

Set amount limits

For each approval user, define the Purchase Amount Approval Limit. Orders below the limit can be self-approved, while orders above it escalate to the next approver in the chain. Set a zero limit to require approval for every PO.

Test with a sample PO

Create a test Purchase Order and click 'Send Approval Request'. Verify the request reaches the correct approver, that they can approve or reject it, and that the PO status updates accordingly.

Monitor and adjust

Review the Approval Entries page regularly to spot bottlenecks. If certain approvers are overwhelmed, adjust the chain or raise limits for trusted buyers to keep procurement flowing smoothly.
